Introduction
This Employee Privacy Notice describes how we collect, use, disclose, transfer and store your personal data for the activities described below, including when you visit Ingenico website, when you attend our marketing and learning events both online and offline (“Events”) and for our business account management. This Employee Privacy Notice describes your choices and rights related to your personal data.
Please note that this Employee Privacy Notice applies to the handling of your personal data as an employee, former employee, candidate, or external staff. (“External staff” are workers who are not employed by Ingenico but who have access to Ingenico’s facilities and/or Ingenico’s corporate network. This includes, but is not limited to, temporary agency workers, outsourced staff, and contractors.
Ingenico may share personal data, where required, with other Ingenico group companies in the interest of providing necessary services. We may also engage third parties as service providers and may require the sharing of your personal data with these third parties. In certain circumstances, we may need to share personal data provided concerning your spouse and/or dependents to these third parties.
We recommend that you read this Employee Privacy Notice in its entirety to ensure that you are fully informed and aware. Where this Employee Privacy Notice may deviate from a country requirement, local Ingenico entities are therefore authorised to issue a local addendum, forming an addition to the Employee Privacy Notice.
This Employee Privacy Notice may also be supplemented by specific data protection notices, stored and displayed within IT systems or applications.

Purpose of the Employee Privacy Notice
Ingenico, its affiliates and subsidiaries (together “Ingenico”, “Ingenico group”, “We”, “Our” or “Us”) aims for Personal Data protection, including that of our employees, to the highest standards, safeguarding the privacy of all employees’ personal data.
This Employee Privacy Notice sets out the key principles regarding how the Personal Data of our employees is processed and managed.
This policy does not form part of an employee’s contract of employment and may be amended at any time.
What personal data Ingenico collects
(This may also include data that you provide to us)
We collect, use, and store (collectively “process”) different types of personal data about you in the operation of our business. In most scenarios, Ingenico processes your personal data as a Data Controller. Whilst on a day-to-day basis local HR department and/or individual companies within Ingenico will be carrying out the processing of your personal data, from a legal perspective, the responsibility for that data, and for ensuring that all processing activities are conducted in accordance with applicable legislation, remains with the Ingenico legal entity to which that you are employed (or with whom you otherwise have a contractual relationship).
If you are an employee, we process personal data about you (and your dependents, beneficiaries and other individuals associated with your employment) primarily for managing our employment relationship with you and managing your interactions with workplace facilities and information systems.
If you are a former employee, we process personal data about you primarily for legal obligations.
If you are an external staff, the type of personal data that we process is limited to what we need to manage your engagement with, and access to Ingenico facilities and information systems.
If you are a candidate, the type of personal data we process is generally limited to what we need to engage with you in regards to Ingenico career opportunities, including, but not limited to the consideration of your application for employment to specific roles at Ingenico, candidate screening, interview scheduling and management, lawful background screening, and to on-board you at Ingenico if you have received and accepted an offer of employment with us.
The personal data we process can include, but is not limited to, the following:
- Name and contact details
- Your first and last name, or your preferred name, government identification number, employee identification number, email address, mailing address, phone number, photo, information on your beneficiaries, spouse and/or dependents your personal email address, your telephone number and your date of birth.
- Demographic data
- Your date of birth and gender and other sensitive personal data (also known as special category data) including information relating to racial and ethnic origin, information about health, disabilities and sexual orientation. This information can also include spouse’s and dependents’ information.
- Government (or National) identifiers
- Your government identification card or passport, citizenship status, residency and work permit status, social security number, or other similar government identification card (for example: employment related tax or pension).
- Employment details
- Your job title and position, office location, employment contract, offer letter, employment start date, termination date, performance history and disciplinary records, training records, leave of absence, sick leave and vacation records.
- Background information
- Your academic and professional qualifications, education and resume.
- Financial information
- Your bank account details, tax information, salary and information relating to retirement or pension.
- Video, voice and image
- We may collect and use your video, voice and image data, subject to the requirements of local law and internal policy.
Where we process your sensitive personal data (also known as special categories of personal data), we generally do so on the basis that our legal duties and rights as an employer or the establishment, defence or prosecution of legal claims necessitate it. In limited circumstances, we may do so on the basis that we are protecting your vital interests or the vital interests of another employee or third party, or the purpose is in the substantial public interest. In rare cases, we may seek your consent in relation to such processing.
Why We Process Personal Data
We collect your personal data for the purposes set out below. Failure to provide your personal data when requested may prevent us from being able to carry out these tasks and/or comply with our legal obligations.
1. To administer your offer letter, employment contract or other commitments we have made to you or in relation to your employment performance.
We process your personal data primarily for the purposes of managing our employment relationship with you, and to fulfil our obligations under your employment contract, including but not limited to onboarding, payroll, benefits administration, pension and retirement administration, managing vacation and other types of leave and tax reporting.
For employment related performance, we may process your personal data in the case that you are eligible for promotions, salary reviews and internal mobility within Ingenico group. In limited circumstances, this processing may include special categories of personal data such as your health data, trade union membership, racial or ethnic origin, or religious or philosophical beliefs.
We rely either on consent or contract performance as our legal bases in justifying our use of your personal data.
2. Other overriding and legitimate business purposes.
We may also process your personal data when it is necessary for other legitimate purposes, such as HR administration, maintaining our global directory of employees and external staff, general business management and operations, disclosures for auditing and regulatory reporting purposes, internal investigations, management of network and information systems security, business operations, security, life safety and building management, provision and improvement of employee services and facilities, physical security and cybersecurity, data protection, for global diversity and inclusions initiatives, to protect the life and safety of employees and others.
In the event of the sale, assignment or transfer of all or part of our business, we may process your personal data as well.
We use business data and other workplace usage, device and content data for organizational analytics and data insight for monitoring purposes to improve work practices. This includes recording of employee performance metrics such as sales related databases for business operations purposes, and for the purposes of reviewing, rewarding and coaching employees for their performance and for the administration of training.
Should there be a need for us to conduct an investigation into the potential violation of law or violations of our internal policies that may relate to you directly or indirectly, we may also process your personal data for such purposes.
In the above cases, we will ensure appropriate technical and organizational controls are in place to protect your personal data.
3. Legally required purposes
We may also process your personal data when necessary to comply with laws and regulations, including disclosing personal data as required by law (e.g. for working time, tax, health and safety, global migration and data subject rights), or to exercise or defend Ingenico’s legal rights.
4. Other uses of your data (where permissible and in accordance with applicable laws)
We collect, use or disclose your personal data when you participate in an event either organized by us or third parties; or co-organized by both Ingenico and third parties, or to enable voluntary personal donations of money or volunteers hours to eligible organizations (i.e. certain non-profits or non-governmental organizations).
Workplace Security and Monitoring Uses
Ingenico may monitor all communications and systems and physical areas of the business and/or work-related activities. Such monitoring is subject to various restrictions in different countries and this Employee Privacy Notice applies in respect to monitoring unless otherwise provided in a country-specific addendum or policy implementing local mandatory requirements. The monitoring rules set out in this Employee Privacy Notice may also be supplemented by additional policies or specific information and/or consent notices, such as the specific consent notice displayed on your computer when you log on or other related notices informing you on the use of CCTV. In certain workplaces, you may have consented to opt for your biometric data, such as facial recognition, prior to gaining access to said workplace.
Ingenico’s systems enable such monitoring, or Ingenico or an employee can sometimes enable the monitoring or recording of telephone, email, voicemail, chat, internet and other communications. For business reasons, and in order for us to carry out our legal obligations as an employer, the use of Ingenico’s systems including telephone and computer systems, and any personal use thereof, may be monitored by use of automated tools or under controlled conditions designed to minimize the amount of personal correspondence / activity reviewed. These automated tools may include network authentication and wireless connectivity hardware and software, anti-malware software, website filtering and spam filtering software, security software for cloud-based applications, access and transaction logging, and mobile device management solutions.
Monitoring is only carried out to the extent permitted, as required by law or basing on Ingenico’s legitimate interests in protecting its employees, customers and business partners. Ingenico reserves the right to retrieve the contents of messages on any medium or check activity on the internet undertaken through Ingenico’s systems.
How and Why We Share Personal Data
Ingenico will only share your personal data with those who have a legitimate business need for it. Whenever we permit a third party to access your personal data, we will ensure the personal data is used in a manner consistent with this Employee Privacy Notice or the agreed upon terms signed with the third party. Your personal data may be shared within the Ingenico group and other third parties, including service providers, that may or may not be in your home country. We share your personal data for the following legitimate purposes:
- For us to carry out the purposes of our processing of your personal data as described in this Employee Privacy Notice.
- To enable third parties, engaged by Ingenico, to provide services on our behalf. Third party data recipients include, without limitation, insurance providers, payroll services, pension administrators, cloud service providers, tax and travel management services, health and safety management, facility management, legal service providers and security related management.
- For us to comply with our legal obligations, government clearances, public authorities, contracts or to respond to data subject rights, a court order, administrative or judicial process, such as subpoena, audit or search warrant. Categories of recipients may also include counterparties to contracts, judicial and government bodies, law enforcement authorities and regulatory bodies.
- To seek advice from external lawyers or from other professionals such as accountants, management consultants.
- When necessary to protect the interests of Ingenico and you, such as safety and security or the vital interests of other persons.
- In connection with the sale, assignment, or other transfer of all or part of our business (such as a potential purchaser and its legal/professional advisers).
- The content of messages retrieved from Ingenico’s systems or results of such internet searches may be disclosed to third parties (including affiliates, regulatory authorities, courts and counterparties in litigation and our or their agents anywhere in the world) where reasonably required by Ingenico and in accordance with applicable laws, and notably data protection and labour laws.
When we share or transfer your personal data to a different country, we will endeavour to ensure that this transfer complies with applicable laws and legislation. Ingenico relies upon terms, including those outlined in the Standard Contractual Clauses, for the collection, use, retention and transfer of personal data from the European Union and United Kingdom to other countries.
Where We Store Personal Data
Ingenico operates globally and therefore personal data may need to be transferred to countries outside of where the personal data was originally collected. What this means is that your personal data and copies thereof may or may not be stored in your home country.
When we transfer your personal data to a different country, we will endeavour to ensure that this transfer complies with applicable laws and legislation. Ingenico relies upon terms, including those outlined in the Standard Contractual Clauses, for collection, use, retention and transfer of personal data form the European Union and United Kingdom to other countries.
How Long We Keep Personal Data
We retain your personal data for as long as is necessary for the processing purpose(s) for which they were collected and any other permitted linked purpose. In most cases, that will be for the duration of your employment with us, plus any additional time that we are required to retain your personal data to comply with our legal or regulatory obligations. For example: relating to tax related matters. Thus, if personal data is used for two purposes, we will retain it until the purpose with the latest period expires; but we will stop using it for the purpose with a shorter period one once that period expires. We restrict access to your personal data to only those persons who need to use it for the relevant purpose(s).
Our retention periods are based on business needs and relevant laws. Records that are no longer needed are either irreversibly anonymized (and the anonymized information may be retained) or securely destroyed. For details of how long each category of personal data relating to employees is retained for, please contact the relevant DPO, or your HR team. Please note that these periods may be extended where reasonably necessary – for example: where we are required to do so by law or requested by a regulator such as for litigation hold.
Security of Personal Data
Ingenico is committed to protecting the security of your personal data. We use a variety of security technologies and procedures to help protect your personal data from unauthorized access, use or disclosure. For example, we store the personal data you provide on limited access computer servers that are located in controlled facilities, and we protect certain highly confidential or sensitive personal data through encryption in transfer and at rest.
Updating Personal Data
We will use reasonable endeavours to ensure that your personal data is accurate. In order to assist us with this, you should immediately notify your respective HR department of any changes to your personal data.
Your Rights to Personal Data
In general, you will have the following rights in relation to your personal data in accordance with applicable laws. For those rights that are not listed here but are accorded by applicable law, Ingenico observes those rights too.
Kindly also note that there are certain exceptions that apply to the exercise of these rights and due to that, you will not be able to exercise them in all situations. In addition, these will vary slightly between EU Member States. For example: in France, in addition to the rights listed above, you also have the right to define directives as to how you wish your personal data to be used after your death.

- Subject Access
- You have a right to be provided with access to any personal data held about you, generally within 1 month of your request.
- Rectification
- You can ask us to have inaccurate personal data corrected. Alternatively, for any of your personal data that you are able to access and of which you are in control, it is recommended that you perform the update to your personal data.
- Erasure
- You can ask us to erase your personal data under certain circumstances and we will take the appropriate measures to inform other controllers that are processing that same set of personal data that you have requested the erasure of any links to, copies or replications of said data.
- Withdrawal of consent
- You can withdraw any consents to processing that you have given us and prevent further processing when such processing of your personal data is based upon this legal base.
- Restriction
- You can require certain personal data to be marked as restricted whilst complaints are being resolved and also to restrict processing in certain other circumstances.
- Portability
- You can ask us to transmit the personal data that you have provided to us and we still hold about you to you or to a third party electronically.
- Raise a complaint
- You can raise a complaint about our processing with the data protection regulator in your jurisdiction.
- Prevent processing
- You can require Ingenico to stop any processing based on the legitimate interests ground unless Ingenico’s reasons for undertaking that processing outweigh any prejudice to your data protection rights.
Changes to this Employee Privacy Notice
We may occasionally update this Employee Privacy Notice. When we do, we will revise the “last updated” date at the top of the privacy notice. If there are material changes to this Employee Privacy Notice or in how Ingenico processes your personal data, we will endeavour to use reasonable efforts, where necessary, to notify you of these changes by promptly posting a notice of such changes, before they take effect, on our websites. We encourage you to periodically review this privacy notice to learn how Ingenico protects your personal data.
California Addendum
If you are an employee, external staff or candidate that resides in California, this section applies to you and supplements the information shared in this Employee Privacy Notice.
California residents have specific rights regarding their personal information under the California Privacy Rights Act (“CPRA”). This section describes your rights. In the preceding twelve (12) months, we have not sold or shared your personal information for cross-context behavioural advertising. We may disclose certain personal information, such as your first and last name, employee identification number, email address, bank account details, job title/position, and other similar contact data, financial information, and employment details with Ingenico group and other third parties, including service providers who provide services on behalf of Ingenico.
1. You may request notice of and access to certain information about our collection and use of your personal information over the past 12 months by submitting your request in a webform here. Once we receive and confirm your verifiable request, we may disclose to you:
- The categories of personal information we collected about you.
- The categories of sources for the personal information we collected about you.
- Our business or commercial purpose for collecting that personal information.
- The categories of third parties with whom we disclosed that personal information.
- The specific pieces of personal information we collected about you (also called a data portability request).
- If we disclosed your personal information for a business purpose, a list of disclosures identifying the personal information categories that each category of recipient obtained.
2. You may request that we correct personal information about you that is inaccurate.
3. You may request that we delete your personal information that we collected from you and retained, subject to certain exceptions. Once we receive and confirm your verifiable request, we will delete or de-identify (and direct our service providers to delete or de-identify) your personal information from our records, unless an exception applies.
None of these rights are absolute and there may be circumstances in which we are required or permitted under applicable law not to address your request.
In order for us to process your request, you must provide us with (a) sufficient information that allows us to reasonably verify you are the person about whom we collected personal information and (b) describe your request with sufficient detail that allows us to properly understand, evaluate and respond to it.
Kindly note that we cannot respond to your request or provide you with personal information if we cannot verify your identity or authority to make the request and confirm the personal information relates to you.
Australia Addendum
If you are an employee, external staff or candidate that resides in Australia, this section applies to you and supplements the information shared in this Employee Privacy Notice, specifically to the processing of personal data of employees of Ingenico in Australia.
We hold your personal data primarily in your country of employment in Australia, but we may transfer and hold your personal data outside Australia, including Human Resource Information Systems such as PeopleDay and the payroll system.
Your personal data may be accessed remotely by the authorized employees of Ingenico. Third parties such as service providers that process employment related matter may also be granted access to your personal data.
In relation to your rights to your personal data, the Commonwealth Privacy Act 1998 does not apply to the personal data of employees. However, Ingenico endeavours at all times to ensure the security and confidentiality of employee data as though it were by the Commonwealth Privacy Act. Similarly, the Australian privacy laws does not give employees the automatic right to access their personal data, but Ingenico will reasonably consider any such request.
