Job summary
We are looking for an organized and proactive Executive Legal Assistant to join our team and provide support for our General Counsel and her team.
Your role will be to provide support to the General Counsel in communication with clients, legal teams, setting up meetings, sending correspondence, and making travel arrangements. As an integrated member of the Legal Team, you will provide administrative/legal support to ensure smooth operation of all legal matters and projects. You have excellent secretarial and organizational skills, and are able to effectively prioritize tasks and meet deadlines in a fast-paced environment and have strong written and oral communication skills (both in French and English).
Your main responsibilities
- Organize and maintain legal files & documents by the creation of databases to store and retrieve these files when needed;
- Proven experience as legal secretary or assistant in law firm
- Outstanding time-management and typing skills
- Ability to multitask and being comfortable dealing with a diverse pool of people
- Support the Group General Counsel in communication with clients, legal teams, setting up meetings, sending correspondence, and making travel arrangements.
- Prepare initial drafts of legal documents (POAs, NDAs, etc);
Qualifications and Skills
- 5+ years of experience with similar position in-house or at a law firm
- Legal knowledge to assist with drafting legal documents, conducting legal research, and understanding legal terminology.
- Excellent written and verbal communication skills (English & French) to interact with attorneys, clients, team to prepare correspondence and legal documents.
- Time management and organization skills to handle multiple tasks, manage deadlines, and maintain order in a fast-paced legal environment.
- Attention to detail to ensure accuracy in legal documentation, correspondence, and case management.
- Interpersonal skills to maintain professional relationships with clients and to work effectively in a team setting.
- Proficiency in office technology and legal software
- Problem-solving skills to anticipate and address potential issues, streamline office operations, and support the team
- Discretion and confidentiality to handle sensitive legal information and maintain client confidentiality.
- Sense of humor!
