Role Purpose
The Sales Administration Assistant manages the full order-to-invoice process, ensuring accuracy, coordination and customer satisfaction. The role acts as a key interface between Sales, Logistics, Finance and external partners.
Sales administration & order management
• Enter, track and update customer orders including quotations, contracts, delivery notes, invoices and payments.
• Validate order compliance and suggest alternative solutions when needed.
• Prepare customer invoicing and manage supplier payments.
• Monitor invoice collection and follow up when required.
• Coordinate logistics for purchases and purchase orders.
• Manage stock levels and follow import shipments with freight forwarders.
• Provide customers with updates on lead times, pricing and ongoing orders.
• Participate in internal meetings (KAM, presales, logistics, finance…).
• Handle delivery disputes and propose timely solutions.
• Knowledge of invoicing, payment terms, export processes and Incoterms.
• Manage invoicing for digital services, repairs, field services and various packages.
Sales support
• Monitor sales performance for the assigned portfolio.
• Handle customer and partner requests and claims.
• Provide reactive support to Sales and customers within defined SLAs.
Team & work environment
• Multicultural EMEA environment with collaboration across multiple countries.
• Team of 30 people with growing scope (Middle East, Africa, Eastern Europe).
• Regular interactions with Finance, Sales, Marketing, Logistics, Customers and external partners.
Required skills
• Fluent in French and English. Additional languages are an advantage.
• Strong SAP expertise.
• Advanced Excel skills.
• Knowledge of transportation methods, contracts and Incoterms.
• Knowledge of letters of credit (plus).
• Strong communication skills.
• Ability to manage multiple information sources.
• High adaptability and flexibility.
